Future Uses in Council Offices Engagement Privacy Notice
As Ceredigion County Council has moved to a hybrid way of working, there will be more space available in the main Council Offices/buildings. There is potential for this space to be used in a variety of ways. Ceredigion County Council is undertaking a survey to gain the public’s views and ideas on how best to re-purpose the main Council offices/buildings.
The purposes for which we use your personal data
Your information will be used to inform research regarding the re-purposing of Council Offices/buildings. When completing the survey in person, your response is anonymous. If you choose to complete the survey online, our survey partner Zoho will share your IP address with us. Where this occurs, the Council is processing personal data, as set out in the notice below.
The lawful basis for the processing of your information is to carry out a task in the public interest provided by the Well-being of Future Generations Act (Wales) 2015 and the Equalities Act 2010.
Where special category data is processed the lawful basis will be that the processing is necessary for reasons of substantial public interest (with a basis in law). The substantial public interest processing condition will be equality of opportunity or treatment (legislation as above).
What if you do not provide personal data?
As a public body, the Council has a public sector equalities duty, and would like to collect equalities information to help ensure that our survey encompasses the full range of views of the whole community.
Completion of the equalities section of the survey is optional and the data collected will be deleted or destroyed after one year.
What type of information do we use?
We may collect the following types of personal data about you to conduct this research:
- IP address (if completing online)
- Gender
- Information about your health
- Your racial or ethnic origin
- Religious or philosophical beliefs
- Information on sexual orientation
Do we use information received from other sources?
If completing the survey in person, your responses are received anonymously from you. If you complete the survey online, your IP address is shared with us by Zoho, who host the survey on Ceredigion Council’s behalf.
Transferring your information abroad
If completing the survey online, your information may be transferred outside the EEA by our survey partner Zoho, subject to Zoho’s appropriate data protection agreements.
Who your information may be shared with?
This survey is hosted on Ceredigion County Council’s behalf by Zoho. When you access Zoho’s website to complete a survey, they may collect identifiers such as an IP address for the purposes of administering their website and service. This data is stored within an EU data centre. Zoho’s privacy policy is available on their UK Privacy Policy page.
